You can upload files to EstateExec for easy access and sharing with others.

General

You can upload files associated with the estate in general, or you can attach files to specific EstateExec items (e.g., asset, cashflow transaction, contact, etc.). Typical attachments include appraisals, invoices, receipts, certificates, the will, reports, and more.

That being said, you are not required to upload any files at all, and for the most part, scanning documents and uploading them sounds like "a good thing to do", but often just adds unnecessary work. On the other hand, attaching files can be quite helpful in certain situations, such as when coordinating with other people to whom you have given estate access, or even just in keeping things organized.

User Interface Overview

To work with files associated with the estate in general, click the Estate | Attach Files menu.

To work with files associated with a particular estate item (such as an asset or a transaction), go to the relevant tab and:

  • Via Menu: Simply select the item you want in the tab's table (clicking the item's checkmark in the leftmost column), and then choose the Edit | Attached Files submenu you want: Upload, Download, or Manage.
  • Via Table Icon: Alternatively, most EstateExec tables have a Files column which lets you manage attached files via icons (, ) in the item row itself. If you do not see the Files column (just to the left of the Notes column), you can make it visible via the menu in the top right of the table (see Using Tables for other useful table tips).

Hint: To see all uploaded files, whether associated with a particular item or the estate in general, use the Estate | Attach Files menu and select the "Include item files" checkbox.

Attach a File

To attach a file to an item,

  1. Select the item to which you want to attach the file (using the item's checkmark in the leftmost column)
  2. Click the Edit | Attached Files | Upload menu

Alternatively, you can attach a file simply by clicking on the item's Files cell in the table:

  1. Click an item's empty cell in the Files column
  2. Select the file you want to upload from the dialog that appears

If you wish to add additional files to an item via the table cell,

  1. Click the icon in the item's Files cell
  2. Click the Add File button in the dialog that appears

Download an Attached File

To download a file you previously uploaded:

  1. Select the associated item in the table
  2. Click the Edit | Attached Files | Download menu

Alternatively, you can simply click the icon in the item's Files cell. If you have attached more than one file to that item, you will be given a choice of files to download.

You can also click the icon in the item's Files cell to open the File Attachment dialog, where you will see a list of attached files. You can download a file from the list by clicking on its name, or selecting one or more files using their checkmarks in the leftmost column, and clicking the Download button.

Delete an Attached File

To delete an attached file,

  1. Click the icon in the item's Files cell
  2. Within the File Attachments dialog that appears, select the desired files by clicking their checkmarks in the left most column
  3. Press the Delete button (note that unlike other deletions within EstateExec, which can be canceled before the next estate save, file deletions are immediate and permanent)

Special Files

In addition to attaching files to general items within the estate, there are certain slots dedicated to common files you may wish to use. For example,

  • The Decedent tab has dedicated buttons for Funeral Wishes, the Will, and a copy of the Death Certificates
  • The Executor tab has dedicated buttons (at the bottom) for the executors Letters of Authority and "Other Executor Files"

Simply click the named button on the tab, or use the Edit | Attached Files menu to manage such attachments.

Limits

In aggregate, you can store up to 100 MBs of attached files. Within that aggregate limit, individual files must each be <30 MBs.

If you find you are running out of room, consider uploading files at lower resolutions. For example, scanned PDFs can default to a very large size, but are just as readable when saved with compression. Similarly, many phones take very high resolution photos, and it's likely sufficient to upload a more modest resolution for the purposes of estate settlement (versus professional photography).

Security and Safety

As with all EstateExec data your files are encrypted during transit to and from our servers, and are encrypted on disk. We do not share your data with anyone (other than people to whom you give estate access using the Estate | Share menu). See Privacy and Security for more information.
